Privacy Policy

1. Who we are

Events24x7 is a platform owned and operated by Yogtra Systems Private Limited(“Yogtra”, “we”, “us”, or “our”), a company incorporated in India with its registered office at:

We provide event coordination services that keep guests informed via WhatsApp — invitations, reminders, and live updates when event plans change.

2. What personal data we collect

We collect only the data needed to run your event and communicate with guests. Specifically:

2a. Guest data

Provided by the event organiser, not collected directly from guests visiting this website:

  • Full name — to address WhatsApp messages personally
  • Phone number — to send WhatsApp notifications
  • Guest party size (number of adults and children attending)
  • Meal and stay preferences — which meals/overnight stays the guest will attend
  • Category and notes — relationship to the event (e.g. family, friend) and any organiser-added notes
  • Email address (where provided by the organiser, for future communication features)

2b. Event coordinator / SPOC data

  • Full name
  • Phone number(s) — up to two contact numbers
  • Email address — used to grant access to the staff back-office (Google sign-in)
  • Role — relationship to the event (e.g. coordinator, owner)

2c. Staff / admin data

  • Google email address and display name — obtained via Google OAuth when a staff member signs in; no password is stored by us

2d. Technical data (cookies)

We set two cookies, only when a staff member signs in to the back-office. No cookies are set for guests visiting public event pages.

  • e24_session — an HMAC-signed session token that keeps staff signed in for up to 7 days. Contains: email, display name, role, and expiry. No personal browsing data.
  • e24_oauth_state — a short-lived CSRF token used during Google sign-in to prevent cross-site request forgery. Deleted after sign-in completes.

We do not use analytics cookies, advertising cookies, or any third-party tracking on public-facing pages.

3. Why we collect it and how we use it

  • Event communication — sending WhatsApp invitations, reminders, and live updates to guests on behalf of the event organiser.
  • Event management — helping organisers track guest headcounts, meal preferences, and attendance.
  • Staff authentication — verifying that only authorised staff can access the admin back-office.

We do not sell, rent, or share personal data for advertising or marketing purposes.

4. Who we share data with

We share personal data with the following third parties, solely to deliver the service:

  • Meta Platforms Inc. (WhatsApp Business API)— guest phone numbers and names are transmitted to Meta to deliver WhatsApp messages. Meta's use of this data is governed by the WhatsApp Business Policy ↗.
  • Google LLC (OAuth)— staff sign-in uses Google OAuth; Google processes the staff member's email address and profile as part of authentication. Governed by Google's Privacy Policy.
  • Hostinger International (hosting) — the platform and its database are hosted on Hostinger infrastructure. Data at rest is stored on Hostinger servers.

We have no other data-sharing arrangements. We do not transfer personal data outside India except as required by the above services (Meta servers may be located outside India).

5. How long we keep your data

We keep personal data only as long as it is needed for the purpose it was collected, then delete it. Specifically:

  • Sensitive event details (guest party size, meal and stay preferences, attendance): deleted within 14 days after your event ends, once they are no longer needed.
  • Minimal contact record(a guest's name, phone number, and which event they were part of): kept for up to 6 months after your event, so that if a guest replies to our WhatsApp messages we can recognise them and respond.
  • Staff and coordinator accounts: retained for as long as the staff relationship is active, and deleted upon request.

You (the event organiser) or any guest may request earlier deletion at any time — see Your rightsbelow; we will remove the data promptly. Note that deleting data on our side does not remove WhatsApp messages already delivered to a guest's own phone, which remain under the guest's and WhatsApp's control.

6. Your rights

Under India's Digital Personal Data Protection Act 2023 (DPDPA) and the Information Technology Act 2000, you have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate or incomplete data
  • Request erasure of your personal data
  • Withdraw consent for processing (where consent is the legal basis)
  • Nominate a person to exercise these rights on your behalf

7. Security

We use HMAC-SHA256 signed session tokens, HTTPS in production, and a staff allowlist to protect access to personal data. No passwords are stored — staff identity is verified entirely through Google OAuth. WhatsApp messages are delivered via Meta's secure API. We follow reasonable security practices but cannot guarantee absolute security of any internet-transmitted data.

8. Children's data

Events24x7 is not directed at children. Guest party records may include a count of children attending an event for headcount purposes; we do not collect any personal data from children directly. If you believe we have inadvertently collected a child's personal data, contact us and we will delete it promptly.

9. Changes to this policy

We may update this Privacy Policy from time to time. The effective date at the top of this page will be updated when we make material changes. Continued use of the platform after such changes constitutes acceptance of the updated policy.
